Description

Alfred Benesch & Company(Benesch) is a multi-disciplined engineering and environmental services firm. Benesch is consistently ranked among the top 500 consulting engineering firms in the United States by Engineering News-Record. Benesch's Milwaukee, WI office has an immediate opportunity available for an experienced administrative professional to become an integral part of its office. This is a Part-Time position, working a minimum of 24 hours a week.

 

Overview:

The Administrative Assistant will provide professional administrative and project support to the Milwaukee office. This position will report into the Design Group Manager and will also be accountable to the Division Manager. Projecting a professional appearance as well as excellent written and verbal communication skills is a must.

 

Duties & Responsibilities include:

Individual & Office Administrative Support

  • Support Division Manager, Design Group Manager, and Project Managers daily as requested
  • Maintain calendars and contacts as required
  • Coordinate and manage travel and meeting arrangements as required
  • Prepare correspondence, reports, and materials for publications and presentations
  • Maintains the day to day office activities by performing a variety of general office and clerical duties to include but not limited to: scanning, faxing, copying, and keeping of documents
  • Reception duties
    • Meet and greet clients and visitors
    • Receives, sorts and routes mail and publications and processes overnight mail
    • Sends, retrieves faxes and distributes to appropriate parties
    • Creates and prints fax/mail cover sheets, labels, envelopes, reports and other documents as needed
    • Prepare and distribute phone lists
  • Call for services on printers, fax machines, copiers, etc.
  • Perform inventory on toners, ink cartridges, paper, and order supplies as necessary
  • Perform inventory janitorial items and order supplies as necessary
  • Maintain pool vehicle inventory and take in for service
  • Process invoices, check requests, and payments as necessary
  • Files documents (electronic and hard) and maintains filing system

Meetings and Event Planning Support

  • Set up and coordinate client-related activities, outings, meetings and conferences as required
  • Provide meeting support as needed (e.g., scheduling conference rooms, coordinating logistics, equipment, catering)
  • Maintain schedule of conference rooms
  • Plan and coordinate office events

Other Support

  • Assist with projects, including research for services and products as needed
  • Process and maintain new projects/supplemental information forms
  • Assist with Business Development/Marketing activities and proposal preparation
  • Perform weekly procurement searches for business development opportunities
  • Assist with the creation of responses to RFPs and project proposals
  • Assist Human Resources with new hire onboarding and employee offboarding processes
  • Handle organization for staff memberships, dues and registrations

 

Qualifications include:

  • Bachelor's degree or Associate's Degree in Office Management or related administrative area preferred
  • Experience working in the A/E/C or Professional Services Industry a plus
  • 3-5 years of experience providing administrative and support in an office setting
  • Advanced skill and knowledge of Microsoft Office products desired
  • Competent use of Deltek Vision accounting software a plus
  • Advanced writing and editing skills
  • Aptitude to work independently
  • Excellent phone and personal skills
